How our quotes work
A quick walk through the whole journey — the part you do, and what your customer sees. Step through it at your own pace.
Build it. Send it. They sign & pay. It’s in ServiceM8.
The big picture
The whole journey, start to finish
You build

on their own phoneAutomaticIt lands
in ServiceM8 + dashboardAutomaticYou only touch steps 1 and 2. Everything after that happens on its own.
Your part · step one
You build the quote
Open the Quote tab & add the job
Enter the ServiceM8 job number, the customer’s name and the address.
Add the work
Drop in the items and bundles, then write the scope of works — you can bold text, add bullet points and links.
Check the customer view
Tap “Client view” to see exactly what they’ll get. No surprises.
Start simple. Open more detail only when you need it.
Your part · step two
You send it
One tap on Review & send creates a link you can text or email to the customer.
A private link, just for them
It opens their proposal on any phone or computer — nothing to install.
That’s your job done
Everything after “send” — signing, deposit, ServiceM8 — runs by itself.
The customer experience
What your customer sees
- 1A clean proposal — clear pricing, photos and scope.
- 2They add or remove options and pick a brand — the price updates live.
- 3They accept and sign with their finger.
- 4They agree to our Terms at signing — it’s recorded.
- 5They pay the deposit — Card, PayID or bank transfer.

Behind the scenes
The moment they sign, ServiceM8 updates itself
Quote → Work Order
The job flips to a Work Order and moves to “Ready to schedule”.
Paperwork attached
The signed quote and a scope sheet for the tech are saved to the job.
Diary & deposit recorded
Notes go on the job diary and the deposit is logged against it.
Profit remembered
The profit we quoted is saved, so the dashboard can compare it to the real result.
No re-typing. No lost paperwork.
Reading the numbers
The GP badge — a quick read
While you build, a badge shows your profit two ways. It’s just for you — the customer never sees it.
Green means you’re in a healthy range. If it’s high, it’s usually a good job — just confirm the on-site hours are realistic before you send.
Your turn — do it for real
One tiny job, tap by tap
Practice job: supply & install one extra double power point
Open the quote tool in a new tab →1 · Build it
2 · Send it
3 · Be the customer
4 · See it land
💡 Use a job set to “Do not count” in ServiceM8 so your practice never skews the real numbers.
That’s the whole flow
Build it. Send it. They sign & pay. It’s in ServiceM8. You’ve got this — and you can step back through this any time.
